Continuously add and invite new members

Manage Invite Emails by selecting Promotion > Invite Contacts.

Overview

Invite Emails are emails sent out to your preloaded members, to invite them to share.

Only preloaded members can be sent an invite email.

When a preloaded member receives an invite email, their member status changes to Invited. You can't send an invite email to an already invited member.

Use each part of the Invite Emails page to continuously add and invite new members to share:

Invite emails are set up and sent by program.

You can change which program you want to set up invites for by using the program selector at the top right of the Invite Contacts page.

Add Contacts

Members must be added to a program before you can send an invite email to them.

If you would like to add preloaded members to send invite emails to, the Add Contacts section of the Invite Emails page makes it easy.

You can add members via the following ways:

You can also have your recruiters add members. Access the Recruiter Portal by selecting Recruiters from the main nav (this option isn't available right in the Add Contacts Import dropdown).

Add new members from your contact sources over time:

  • New customers

  • Referred customers

  • People reached by recruiters (your team members)

  • New contacts (say, people who signed up for a newsletter)

You can now decide to send an invite when manually adding a member as a recruiter or admin.

Send Invites

Use the Send Invites section to set up your invite email text, and then schedule invites or send them manually.

Settings

Set up your Invite Email text and cadence with the following options:

  • Edit Weekly Schedule

  • Customize Language

  • Reminder Setup

Edit Weekly Schedule

Enable the Weekly Invite Scheduler to automatically send the invite email to eligible preloaded members (who haven’t been invited before) on the days selected.

This feature lets you keep sending invites to new preloaded members – shortly after you add them to your program – and encourage them to start sharing promptly. It makes continuous promotion much easier (just set it up and let it run automatically)!

  • Select the day(s) and time to automatically send invite emails.

  • Select the member sources (ways members are added) to receive the invite and reminder emails:

    • Import (members added via CSV)

    • API (members added through an API method, including Zapier)

A preloaded member will only get an invite email once – or twice, if the 7-day reminder is turned on.

Starting at least 14 days after they’ve received the invite email, invited and activated members will automatically receive the Monthly Summary each month as a reminder of the program (if turned on).

Customize Language

Our invite email template is designed for consistency and closely follows program email best practices. The fields make it super-simple to craft an engaging email.

Customize Language enables you to edit the following fields:

  • Member Offer – text that presents the friend gift and member reward

    • This serves as the bold text at the top of the email body.

    • It also serves as the email’s subject line

    • Keep this to 60 characters or fewer to avoid the subject line getting cut off in email inboxes.

  • How It Works

    • Intro Line (max. 151 characters)

    • Three steps of how the program works (max. 151 characters per step, but we recommend keeping each step to one line)

  • Visit Member Portal Button (max. 46 characters)

  • Personal Message – use this to include additional text at the bottom of the email, such as a heartfelt thanks, or info on bonus rewards or tiers

If you’d like to see how an email will look in members’ inboxes (including with the logo and footer from your Brand Settings), click Send Test Email. This will send the email to your own inbox so you can check that everything’s displaying properly.

The text you put in the invite email settings will be used for all future invites for the program you’ve selected, whether they get sent through the Weekly Invite Scheduler or manually.

You can make changes as desired, which will immediately apply to future emails. You won’t have to input new text every time you want to send out invites.

Reminder Setup

Turn on the One-time Reminder Email to send a second invite email – sent 7 days after a member receives their first invite.

Anyone who gets an invite will also get the reminder if it is enabled.

Manual Invite

To manually send out invites, select Manual Invite. Then, check the types of members you’d like to invite:

  • Past Imports (you can then choose which imported list you’d like to invite members from)

  • Manual Adds

  • Recruiter Adds

  • API

When you’re ready, click Send Email. The email will go to all preloaded members from the sources you’ve selected, who haven’t yet received an invite email.

If you want to check the email before sending, click the link to Invite Email Settings.

Preloaded

View all your preloaded members available to send invites to. Click on a member's name to open their Member Profile, and see whether an invite is schduled or whether you need to invite them manually.

You can also export your list of preloaded members.

Invite History

The Invite History section shows you data on your invite emails and how they performed, so you can optimize future emails:

  • Name

  • Status

  • Created

  • Sent

  • Members

  • Open rate

  • Click rate (% of people who clicked the email link and activated)

You can also click on the name of an invite email for a more detailed delivery report, which includes the amounts and percentages of emails that were:

  • Delivered

  • Opened

  • Clicked

  • Undelivered

  • Sent

  • Pending

  • Spam

  • Unsubscribed

FAQs

What is the difference between preloaded, invited, and activated members?

Preloaded: Members added to your program who haven't received any emails or engaged with the program

Invited: Members who have received an invite email, but have not yet engaged with the program

Activated: Members who have accessed their member portal, shared their link, or added a referral

Can I send the same person an invite email more than once?

Yes, you can send the invite a second time if you have the 7-day reminder feature turned on. The second invite will send 7 days after the first if the member hasn't been activated yet.

You can’t send the same person an invite email more than twice. But even if a member hasn’t activated yet after the invite email(s), they’ll still receive Monthly Summary emails as a reminder of the program (which will also increase the chances they’ll activate).

What can cause a member to activate after getting the invite email?

A few things:

  • They access their Member Portal

  • They share their referral link with a friend

  • They add a referral

  • A referral clicks their link

How are invite emails different from regular email marketing?

Unlike general newsletters or promotional emails, invite emails are specifically designed to encourage new referral program members to start sharing. They include members’ unique referral links, program-specific messaging, and automatically track who becomes an active program participant.

What if I want to send my own emails instead?

You can always use One Click Access links in your own email campaigns. However, you'll miss out on the proven best practices, automated scheduling, targeted sending, analytics, and built-in sharing that make invite campaigns so effective.

Can I change the design of the invite email?

You can update your logo and button color in Brand Settings. The layout stays fixed so it always looks great across devices.
