How to add and manage recruiter users in Referral Rock

The Program Recruiters feature allows your sales reps, service staff, or other team members to directly recruit new members into your referral program.

As an administrator, you can add, manage, and monitor recruiters, giving them access to their own Recruiter Portal where they can add members, and view and manage the members they’ve recruited.

This guide will walk you through:

  1. Adding recruiters to your program

  2. Understanding recruiter assignment and source tracking

  3. Viewing recruiter data for members and referrals

  4. Exporting and integrating recruiter data

Access and manage your Recruiters List via Promotion > Recruiters.

Adding Recruiters

  1. Click the Actions button at the top of any page

  2. Click Add Recruiter

  3. Enter the recruiter’s details and select the program they belong to

    1. Each recruiter can only belong to one program

    2. This is the program they'll sign-up members for

  4. Click Add

The recruiter will now receive this email to access their Recruiter Portal in a single click.

Tip: Add yourself as a recruiter first so you can explore the Recruiter Portal before inviting your team. If you are both a recruiter and program admin, when you log in you will choose which application you want to open.

Recruiters List

Access your Recruiters List by selecting Promotion > Recruiters and then choosing your desired program. This list monitors your recruiters' activity, including:

  • When they last logged in

  • When they last added a member

  • Numbers of members and referrals they've been assigned

If you'd like to resend a login link to a recruiter, find them in your Recruiters List and scroll to the right. Click on Actions (the three dots), then select Send Login Link.

You can also update a recruiter's info, or disable a recruiter, from their Actions dropdown.

Understanding Recruiter Assignment & Source

When a recruiter adds a new member, the following fields are set on the member's profile:

  1. Recruiter Assigned → The current recruiter assigned to a member. This value determines which recruiter can view and manage the member in their Recruiter Portal, and can be changed.

  2. Recruiter Source → Records who originally recruited the member for historical tracking. This cannot be changed.

Admins can manually reassign members to new recruiters, but this is limited to one-off reassignments only. There's no bulk reassignment option.

Example Scenario:

  1. If a recruiter leaves, you can reassign members to a new recruiter (updating the Assigned field).

  2. The Source value remains unchanged, preserving historical credit.

Then, when a referral is sent in from a member with a recruiter assigned to it, the referral will automatically inherit the Recruiter Assigned and Recruiter Source from their member.

A referral's recruiter fields are immutable; they do not update if the member's recruiter changes.

This way, each recruiter gets credit for all the referrals their members generate, which can then be used for reporting and integrations discussed below.

Viewing and Managing Recruiter Data

Recruiter fields appear throughout your account in the following areas:

  1. Members Admin Table → Columns for Recruiter Assigned and Recruiter Source

  2. Referrals Admin Table → Columns for Recruiter Assigned and Recruiter Source

  3. Member Profile → “Recruiter Info” section

  4. Referral Profile → “Recruiter Info” section

Exporting Recruiter Data

Export Recruiter data by clicking the Export button on the top right of the Recruiters List page, or by opening Reports and clicking on "Recruiters."

What's included in the export:

  • Recruiter Details - Recruiter ID, Program, Last Access Date

  • Member Activity - # of Members Assigned, Last Member Assigned, # of Members Sourced, Last Member Sourced

  • Referral Activity - # of Referrals Assigned, Last Referral Assigned, # of Referrals Sourced, Last Referral Sourced

Use this data to:

  • Identify top-performing recruiters and understand what they're doing differently

  • Spot inactive team members who need coaching or reminders

  • Build incentive programs/leaderboards based on actual performance

Reporting & CRM Integrations

You can include recruiter data in:

  1. Data Export→ Use spreadsheets or BI tools to create recruiter reports

  2. CRM Automations → Sync recruiter assignment and send data into your CRM

  3. HubSpot → Recruiter info is included with each new referral and sync'd for members.
