Multi-Org Accounts let you maintain brand consistency across all your programs while giving individual teams and users the flexibility they need. Control which team members can access different programs and how each program is funded.

Common use cases include franchises, brands, and sales rep-based programs that require centralized oversight but individualized program control.

Scoped Roles

The two roles that let you control program access are Supervisors and Operators. Add team members from the Team Management page (under Settings). First, select the role then set which programs you want a team member to access.

Supervisor

Supervisors have permission to manage the programs they can access but cannot edit the program design, configure integrations, or change account-level settings. They can see program data but not account data.

Supervisors have more permissions than Operators including the ability to manage program payouts (not account payouts), send member campaigns, and add additional Operators to the team.

Supervisors can:

  • Set up and manage payouts in their program

  • Set up/send invites for member campaigns

  • View/edit/add referrals and members

  • View/add/issue/delete rewards

  • Add/edit/disable Operator users

  • View the email history for the program they manage

  • Download program reports for Members, Referrals, and Rewards

Supervisors cannot:

  • View or edit program configurations or design

  • Change program status

  • View or edit integrations

  • View or edit account-level settings

Supervisor experience:

Operator

Operators have some management permissions for the programs they can access. They have the same limitations as Supervisors and cannot edit the program design, configure integrations, or change account-level settings. They can see program data but not account data.

Unlike Supervisors, Operators cannot manage payouts, send member campaigns, or add additional Operators to the team.

Operators can:

  • View/edit/add referrals and members

  • View/add/issue rewards

  • View the email history for the program they have access to

Operators cannot:

  • View or edit payout accounts

  • Set up/send invites for member campaigns

  • Add/edit/disable Operator users

  • View or edit program configurations or design

  • Change program status

  • View or edit integrations

  • View or edit program or account-level settings

Operator experience:

Funding Payouts

You can use a global payout or a Program Specific Gift Card to fund your rewards

Go to the Payouts page (under Settings) and select “Program Specific Gift Card.” This will let you create a gift card account for each program.

Currently, gift cards are the only program-specific payout option.

If using a Program Specific Payout, you need to create the Payout before creating the reward rule. If you already created the reward rule then delete and create the Payout first before setting up the reward rules.

Creating Templates

If you're creating multiple programs, it's best to use a template. It's important to have the template program fully set up before you clone.

Step 1: Create a "template" program

Create a new program (or use an existing one) that will serve as your template. We recommend you put the word "Template" in the program name.

Important: If you are using Program Specific Payouts, you need to create a Program Specific Payout first and associate it with a Reward Rule in your template program before cloning.

Step 2: Clone the template program

  • Clone the template program

  • Rename the cloned program

Step 3: Adjust the program setup (optional)

  • Adjust the cloned program’s design & copy elements if needed

  • Your Reward Rules will be automatically copied.

    • If using a Program Specific Payout in the template program, a new payout will automatically be created and linked in the reward rules (you just need to fund it - see step 6).

    • If using a global payout in the template program, then it will use the same payout in the new program (no additional payouts will be created)

Step 4: Activate the new program

  • Activate the program (this will make it ready to go live)

Step 5: Add team members

Add Supervisor/Operators to the account.

  • Select “Settings,” then “Team Management”

  • Select “Add User”

  • Enter their details and select “Supervisor” or "Operator" as their role

  • Select the program name that you’d like them to manage

Step 6: Fund the Payout

If you're using a Program Specific Payout and you want the Supervisor to fund it then you'll need to instruct them to do so:

  • Visit Payouts to set up a new Gift Card payout

    • A new payout will automatically be created if part of the template program

    • If not, you'll need to create one from this page

  • Follow the instructions for the new Program Specific Payout
