Overview
A referral can be one of four statuses:
Pending
Qualified
Approved
Denied
All referrals enter Referral Rock as a Pending referral. However, not every status needs to be used.
We recommend that customers choose to line up the referral statuses with their sales process as well as when they will be issuing rewards.
Most commonly, customers issue rewards on the Approved status. However, you may set your rewards to trigger based on any of the statuses inside of Referral Rock, with the exception of Denied.
An example sales process lined up with Referral Rock's statuses:
A new lead submits their information and they’re recorded as a referral in Referral Rock = Pending Status
The lead meets with a sales representative at your company = Qualified Status
The lead becomes a customer = Approved status
Updating Referral Statuses
You can update a referral status manually, in bulk via CSV import, or via a referral update integration.
Important notes about Status changes:
A status can be changed back and forth between
Denied
andPending
A Referral can only be changed to
Qualified
fromDenied
if it has never been inQualified
status beforeAfter a Referral is set to
Approved
no changes can be made to the statusIf you need a prohibited change made, please reach out to support with the ID of the Referral and the desired status
Manual update
Follow these steps to manually update a referral's status.
Select Referrals > View All in the nav menu.
Locate the referral you'd like to update and click on their name. This will bring up their Referral Profile.
Click on the referral’s status and choose the status you'd like to update the referral to using the drop-down menu.
Keep in mind – once you approve a referral, you cannot move them back into pending or qualified status.
Bulk update via CSV
Follow these steps to bulk update referral statuses:
Select Actions > Bulk Import > Referrals: Update Existing
2. Upload your CSV file with the updated statuses listed inside.
Read through our Import Guide for how to successfully format and import a CSV file. You can also use the Update Example CSV file as a guide.
3. On the following pages of the import modal, you can preview your referral records and view any validation errors.
4. Once you are happy with your import preview, click Import to update your referrals.
For referral update imports, you must include a referralkey field in order to identify which referral(s) are being updated. Match referrals based on:
Referral's internal ID "referralkey_ID"
External identifier "referralkey_externalid"
Referral's Email Address "referralkey_email"
