Set up Reward Rules

Reward Rules let you issue customizable rewards to both members and referrals within your program

Overview

Reward Rules are used by Admin and Manager roles to set the reward logic for your program. They’re most commonly used when launching a new program or updating existing reward logic.

What we’ll cover in this article:


Before you start

  • You must be an Admin or Manager role to set up reward rules.

  • Decide whether you’re rewarding members, referrals, or both (recommended).

  • Choose the type of reward you are offering. See Payouts Explained for a list of available reward types.


Where to find Reward Rules

Programs > [Program name] > Open Editor > Rewards > Add Member Rule or Add Referral Rule


Add and Setup Reward Rules

You can add multiple member reward rules (for the sharer) but only a single referral reward rule (for the “friend” or person being referred).

Step 1: Adding Reward Rule Summary

  1. Select Add Member Rule or Add Referral Rule

  2. In Reward Rule Summary:

  • Set Enable/Disable

  • Optional: Set Limit by Date (Member Reward Rule only)

  • Optional: Add an internal description

Note: Limit by Date (member rules only) sets a time frame for when that reward is eligible to be earned. Leave it unchecked if the reward should always be available.

Step 2: Choose Reward Type (Reward With)

  1. Select Setup for Reward MemberWith/Reward ReferralWith step

  2. Choose Add New Reward or Existing Reward (if you already set one up). See Payouts Explained for a list of available reward types

  3. Complete Reward Details

  4. Select Finish (a green checkmark appears to confirm it’s set up)

Note: In Reward Details, choose either a fixed reward amount or a percent of sale amount. If you choose a percentage, you can set a maximum sale amount limit and adjust how the reward amount is rounded (Advanced options).

Step 3: Choose what action earns the reward (Trigger Reward When)

  1. Select Setup

  2. Choose your Referral Event Trigger

  3. Select Finish (a green checkmark appears to confirm it’s set up)

Option 1: Select a referral status (Pending, Qualified, or Approved)

  • Reward is earned when a referral reaches the selected status

  • Optional: Configure Additional Conditions (Tiers)

Note:

Number of Referrals Tier - trigger the reward based on the # of referrals earned (see example structure)

Referral Sales Amount Tier - triggers the reward based on the referral amount value (see example structure)

Note: If referral status is selected as the trigger, a referral can earn rewards for previous statuses as it progresses. For example, when a referral changes from Pending to Approved, it will trigger any rewards linked to the Qualified status.

Option 2: Select Recurring Referral Actions

  • Reward is earned on an ongoing basis instead of just a single reward. Eg: An E-Commerce company may wish to reward members after their referral makes a repeat purchase online within the first year up to a maximum reward of $500.

  • Optional: Configure Additional Conditions

Note:

  • Total Number Limit setting allows you to set the limit of the number of individual rewards earned from a single referral's enrollment, regardless of amount.

  • Total Amount Limit allows you to set a limit of the total amount in rewards a member can receive from a single referral's enrollment.

  • Set your desired Days After Approved Limit and/or Event Time Range Limit. By default there is no date limitation, but you can also choose to limit by days based off of when the referral was approved, or by a specific date range.

Note: Recurring actions can be sent via API, a Zapier integration, or by manually adding a Referral action. More info here.

Step 4: Choose when the earned rewards are issued (Reward Delivery)

  1. Select Setup

  2. Choose your Reward Delivery Preference

  3. Select Finish (a green checkmark appears to confirm it’s set up)

Option 1: Review & Issue

  • Triggered rewards appear as Pending Rewards, so you can review and then issue. You can also find the list of pending rewards on the Reward List (Pending - Eligible).

  • Optional: Configure Additional Conditions and Add Issue Delay so rewards are only eligible after a set number of days.

Tip: Recommended to select Review & Issue when the program is new to confirm rules are correct and help prevent fraudulent rewards.

Option 2: Issue Instantly

  • Triggered rewards are issued as soon as they’re earned and show as Issued. You can see these rewards on the Reward List (Issued).

Tip: Recommended to select Issue Instantly once your program is running smoothly and you’re confident in your rules (or if you have a high volume of small/low-risk rewards).

Edit an existing rule

  1. Go to Program Editor > Rewards.

  2. Select the Edit icon next to the rule you want to update.

  3. Select Setup next to the section you want to change.

  4. Make required changes and select Save.

Note: Updates apply to new rewards earned going forward and do not affect existing rewards.


FAQs

Can I give different rewards based on the type of product purchased?

Our system isn't able to reward based on specific products bought by the referral. The only possible workaround is creating a Zapier integration between your CRM and Referral Rock to trigger rewards based on items purchased. This will require some technical resources on your end.

You can, however, set up different "levels" of rewards based on the referral's spend. Each spending tier will require you to set up a separate reward rule.

Can I consistently give a higher reward amount to a specific member vs. everyone else?

The reward rules are configured at the program level. If you'd like to adjust the reward for a specific member, you can do a one-off reward instead when they earn a reward.

Can I switch one member's rewards to manual?

Payouts can only be switched by reward rule (at program level) and not by member. However, you can issue a manual reward for that specific member if the reward rule is already set to manual.

Can I let members choose from a list of multiple rewards?

The reward rules that are set in the program apply to all members of the referral program.

You can't allow members to choose between different types of rewards (i.e. choose whether they'll receive cash or a gift card as their reward).

Referral Rock supports offering multiple reward types, but the choice of reward is set by you (the admin), not the members themselves.

However, you can offer some choice to your members if you select the Reward Link option for gift cards. Members can choose from the over 100 types of gift cards available in the Reward Link, so this is a great option if you want to let members select from a list of rewards.
