If you exceed your Member Limit, your program(s) will still operate as expected, but Referral Rock will not add any additional Members.
We will notify you when you get close to your limit so have the opportunity to upgrade before reaching the threshold.
Exceeding your member limit creates disabled members
If you exceed your member limit, then all “new” members added will automatically be set to Disabled status, with the disable reason set as "MemberLimitHit."
At this point, you can either increase your member limit (using a paid add-on) or disable members that haven’t engaged with your program.
Once you’ve increased your member limit or disabled dormant members, you can “enable” other members (make them preapproved or activated, depending on their previous engagement status).
Potential members past your Member Limit > Pending Member Requests
If someone attempts to register as a new Member and you have reached your limit, they will receive a prompt stating that their registration request has been submitted and they will be emailed if they are accepted into your program. They will be placed in your Pending Member Requests, ensuring you don't miss an interested member!
How to free up space for new members?
You have two options to unlock more space for new members: purchasing the add-on to increase your member limit, or disabling members that are no longer engaged - or who haven't engaged at all.
We recommend that you disable or remove two types of members to free up space:
Members who were active a while ago, but have not been active in a long time
Find members that haven't been active in a while with the Last Active Date member filter
Old preapproved members who never engaged
Find old preapproved members with the Created Date and Status = Preapproved filter
Once you've found the members you'd like to disable, click the checkbox to the left of a member name to select that member and bring up the Bulk Actions dropdown.
You can then choose "Disable Members" to disable all the members you’ve selected.

Adding pending members once you have room
Once you have made room for new members by either upgrading your member limit or removing inactive members, you can return to your pending member requests and approve them to join.
You can also go to the Member List and find the members with the "Member Limit Hit" disable reason (use the member list filter, and choose Disable Reason equals MemberLimitHit. ) Then, you can check the boxes next to their name and select Bulk Actions > Enable Members.
